Team phone lines information  – monthly schedule of residents covering phone lines is below 
We now have 5 dedicated phone lines (one for each team day) where patients can leave messages for their doctors. We anticipate that most of these messages will be simple questions about treatments or referrals. When a patient calls the team phone number he will hear a recording in English and Spanish stating that non-urgent messages can be left weekdays before 3 pm for the doctor. The message further states the correct numbers to call for emergencies, after hours, appointments and med renewals.

Messages may be checked through the day and then once after 3PM as patients may leave messages on these lines until 3 PM. After 3 PM, the recording instructs patients to call the after hours telephone number – 918-5700.

Each resident will check only the messages for the team he/she is assigned to cover—ideally his/her own team although there will be a few residents who have to cover a different team.

Messages can be retrieved from any phone in the hospital.

Do not delete the messages – save them for now.

Document any significant telephone encounter in the EMR – under “other contact”  Discuss any clinical or logistic question with one of the DT’s.

If the patient wants to speak with his primary doctor, the resident can forward  voice mail to the patient’s primary doctor via the hospital outlook system, which is encrytped and password protected.  Alternatively, the resident can send a short email via quadrimed as an interrupt email.   Before sending a message to another resident it would be prudent to check and see if that resident is likely to get the message in the next few days ( that is that they are not on vacation, Weiler etc) and unlikely to be able to respond.

The numbers for patients to call from outside lines are 718-975-644X.  PGY1 business cards have this number printed on there.  PGY2 and 3 should write the number on the business card when they give it out.
